Please read these Booking Conditions carefully. They apply to all bookings made with Travel Wizards Limited and set out our respective rights and obligations. In these terms, "you" and "your" means the Lead Name on the booking and all persons named on it. "We", "us", and "our" means Travel Wizards Limited.

1. Our Status & Contract


We act strictly as a Retail Agent on behalf of third-party suppliers, such as tour operators, airlines, hotels, transport companies, and car hire providers (referred to as the "Supplier/Principal").


When you make a booking, your contract is directly with that Supplier/Principal, and their specific terms and conditions will apply to your booking. As an agent, we accept no responsibility or liability for the actual provision of the travel arrangements or for the acts or omissions of the Supplier/Principal. 

2. The Lead Name & Age Requirement


The person who requests the booking must be at least 18 years old and is designated as the

Lead Name. By making the booking, the Lead Name guarantees that they:


  • Have the authority to accept, and do accept on behalf of all party members, these booking conditions.
  • Are responsible for making all payments due to us under the contract.
  • Will pass on all documentation and information regarding the booking to all members of the travelling party. 

3. Bookings, Deposits & Payments


  • Confirmation: A contract comes into existence with the Supplier/Principal when we issue a confirmation invoice on their behalf. Please check all details carefully immediately upon receipt. 
  • Deposits: To secure a booking, you must pay the deposit required by the Supplier/Principal (plus any applicable Travel Wizards administration fees).
  • Balance Payments: The balance of your travel arrangements must be paid by the date specified on your confirmation invoice. If the balance is not paid in full and on time, the Supplier/Principal may cancel your booking and charge the cancellation fees outlined in their terms. 

4. Prices & Surcharges


We reserve the right to alter the prices of any travel arrangements shown on our website or marketing materials before a booking is confirmed. Once a confirmation invoice has been issued, price increases or surcharges may apply in accordance with the Supplier/Principal’s booking conditions (for example, changes to fuel costs or taxes).

5. Changes or Cancellations by You


If you wish to amend or cancel your confirmed booking, the Lead Name must notify us immediately in writing.


  • Any changes or cancellations are subject to the terms, conditions, and fees of the relevant Supplier/Principal (which can be up to 100% of the cost of the travel arrangements).
  • In addition to the Supplier/Principal's charges, Travel Wizards Limited reserves the right to charge an administration fee of £[Insert Amount, e.g., 25.00] per person for amendments and £[Insert Amount, e.g., 50.00] per booking for cancellations to cover our processing costs.

6. Changes or Cancellations by the Supplier/Principal


We will inform you as soon as reasonably possible if the Supplier/Principal needs to make a significant change to your confirmed travel arrangements or cancel them entirely. We will mediate between you and the Supplier/Principal regarding alternative options or refunds in line with their terms, but we carry no operational liability for these alterations.

7. Financial Protection & TTA Membership


Travel Wizards Limited is a member of the Travel Trust Association (TTA), membership number Q8854


All customer payments made to us are deposited directly into a secure, designated TTA Trust Account. This money is supervised by an independent trustee (a qualified accountant or solicitor) and can only be released to pay for your specific travel arrangements or to issue a refund.


Your financial protection is structured as follows depending on what you book:


  • Flight-Inclusive Packages: Where we organize and sell a flight-inclusive package holiday, your arrangements are protected under our TTA ATOL franchise or our independent ATOL License [Insert ATOL Number if applicable]. You will be issued an ATOL Certificate immediately upon payment, ensuring you are either refunded or repatriated if the business fails.
  • Non-Flight Packages & Standalone Arrangements: For all non-flight packages, accommodation-only, or single-component bookings, your money is 100% protected by the TTA Trust Account framework. In addition to the trust account, the TTA provides a Financial Guarantee of up to £11,000 per passenger. This means that in the highly unlikely event of our insolvency or supplier failure, your money is completely safe and you will receive a full refund or be brought home safely.

8. Passports, Visas, and Health Requirements


It is your absolute responsibility to ensure that you comply with all passport, visa, and health

requirements relevant to your itinerary.


  • Passports: British passport holders generally require a passport valid for at least 6 months beyond the return date of travel for destinations outside the UK/EU.
  • Visas & Health: You must check current requirements with the relevant embassies or consulates, alongside any mandatory vaccination or health regulations. We do not accept liability if you are refused entry or travel due to failure to possess correct documentation.

9. Travel Insurance


We strongly recommend that you take out comprehensive travel insurance from the date of booking.


 Your policy should cover, at minimum, cancellation costs, medical expenses, emergency repatriation, personal baggage, and personal liability. Travel Wizards Limited cannot be held liable for any financial losses incurred due to a lack of adequate insurance coverage.

10. Complaints


Because your contract is with the Supplier/Principal, any issues, shortfalls, or complaints regarding your travel delivery should be raised immediately with the local supplier representative (e.g., hotel management or airline staff) while you are away. 


If the matter cannot be resolved locally, you must notify us in writing within 28 days of your return. We will pass your complaint to the Supplier/Principal and track it on your behalf, but we are not legally liable to pay compensation.

11. Data Protection & Privacy


To process your booking, Travel Wizards Limited must collect and share your personal data (such as names, passport details, and medical/dietary requirements) with the relevant Supplier/Principals. We act as a Data Controller under UK GDPR and the Data Protection Act 2018. Your information will only be used for your booking or as otherwise permitted by our Privacy Policy.

12. Jurisdiction & Governing Law


These terms and conditions, and any dispute or claim arising out of or in connection with them, shall be governed by and construed in accordance with the laws of England and Wales. Both parties agree to submit exclusively to the jurisdiction of the courts of England and Wales.

13. When We Act as a Package Organizer (Dynamic Packages)


If we arrange a holiday for you by combining a flight, accommodation, transport, or car hire under a single booking process where you pay a single total price, this constitutes a "Package" under The Package Travel and Linked Travel Arrangements Regulations 2018.


When we sell you a Package that we have put together ourselves, we act as the Organizer. For these specific bookings, Sections 1 and 6 of our standard terms are superseded by the provisions below. 

13a. Our Liability for the Performance of the Package


As the Package Organizer, we accept responsibility for ensuring that your holiday arrangements

are supplied as confirmed on your booking invoice.


  • If any part of your package is not provided as agreed, or is performed substandardly by our chosen suppliers, we will pay you appropriate compensation if this has affected the enjoyment of your travel.
  • Limitations of Liability: Our maximum liability in respect of these bookings is limited to a maximum of three times the cost of your travel arrangements, except in cases involving death, personal injury, or illness caused by our negligence or that of our suppliers. Our liability is also limited in accordance with relevant International Conventions (e.g., the Montreal Convention for air travel).

13b. Significant Changes and Cancellation by Us


While we always aim to deliver your holiday exactly as booked, we reserve the right to make changes or cancel your package if necessary.


If we have to make a significant change (such as a change of flight time by more than 12 hours, a change of resort, or a downgrade of accommodation standard) or cancel your package entirely, you will have the choice to:


  1. Accept the altered travel arrangements.
  2. Accept an alternative holiday package of comparable standard from us, if available.
  3. Cancel your booking completely and receive a full refund of all monies paid within 14 days.

13c. Your Right to Transfer the Booking


If any member of your party is prevented from travelling on a confirmed package, they may transfer their place to another suitable person, provided that:


  • The transfer is requested in writing at least 7 days before departure.
  • The transferee satisfies all conditions applicable to the package.
  • You agree to pay an administration fee of £50.00 plus all additional costs, fees, or charges imposed by our suppliers (such as airline name-change or ticket re-issue fees).

Your Financial Protection (Package Bookings)


To comply with UK law and ensure your money is safe when buying a package from Travel Wizards Limited, your arrangements are financially protected as follows:


Flight-Inclusive Packages: When you buy a package that includes a flight arranged by us, it is protected under our ATOL License [Insert Your ATOL Number], issued by the Civil Aviation Authority (CAA). In the event of our insolvency, the CAA will ensure you are refunded or repatriated. You will receive an official ATOL Certificate the moment payment is taken.

Non-Flight Packages: When you buy a package that does not include flights, your

money is protected by a financial failure mechanism. We protect your consumer funds

via [Choose One: an Approved Trust Account / Financial Failure Insurance / an

ABTA Bond]. This ensures you receive a full refund or repatriation if we go out of

business.
